Five things we need to quote

The date, the exact address, the working hours, the number of people or a description of what has to happen, and any special requirements — language, site entry, dress code. With those five we send a figure back rather than a request for more details. Everything else can be settled afterwards without holding up the answer.

If one of them is still open, write anyway and we will give a range. Waiting for a complete brief usually costs more than an early estimate corrected later.

Why there is no price list

An hourly rate on its own says very little. Two people for four hours is a different job from one person for eight, and a venue outside the city can add two hours per person per day before anyone has spoken to a visitor. A quote from us is broken down into hours, travel and coordination, so it is clear what can be shortened or moved if the budget is tight.

We show that breakdown even when a single figure is requested, because without it there is no way to discuss trade-offs. What the quote does not include is listed separately — printing, transport of your own equipment, venue fees — since that is where most misunderstandings start.

What happens after you accept

We confirm the crew and send you the names of the people assigned, along with the contact number for whoever is leading them on the day. If the venue closes its personnel list in advance, that deadline drives everything else — we settle the crew first and refine the scope afterwards, not the other way round.

Before the event the crew receives a brief: the run of the day, the task list, the site rules and the point at which a question is passed to your own people. On the day itself there is one contact person on site rather than several, so a change reaches the whole crew at once.

After the event

You get a report with the figures agreed in advance, an invoice matching the quote, and a short note with what the crew observed: which questions kept coming up, when the traffic actually built, what to change in the layout. Nothing is added afterwards beyond hours worked past the plan with your agreement.
